Prepare an assortment brief
A wholesale discussion is easier when the requested assortment is clear. List the soap concepts, approximate quantities, retail or bulk presentation and destination. A distributor, gift retailer and hospitality buyer may need different carton configurations. Ask for the scope of the offered assortment instead of assuming that every pictured item is currently in stock.
Compare the commercial scope
Check whether a quotation covers individual wrapping, cartons, branding, samples and freight. Confirm the currency and delivery basis in the agreement. Minimum quantities and availability should apply to the specific assortment and date. A low product-only price is not directly comparable with a quotation that includes decorated retail presentation or another delivery responsibility.
Review product information and traceability
Ask what information identifies each product and batch and what storage or handling information will be supplied. The importer should identify the documents needed in the destination. Do not treat a wholesale purchase as an exemption from product or labeling requirements. Record who will answer documentation questions before goods are dispatched, rather than after they arrive.
Plan receiving and discrepancy handling
Agree what the receiving team checks: quantity, pack condition, identity and any documented product criteria. Keep the delivery and batch references with the inspection record. Ask how a discrepancy is reported and reviewed. This practical process helps both parties discuss a concern using the same facts, rather than relying on an informal photograph or an incomplete shipment description.
